Policies

  1. Military/Government registrants must be full time, active military/government and provide a valid U.S. federal or active military ID upon arrival at the AAMI eXchange registration desk. Must also use a .gov or .mil email address to qualify for the rate.
  2. Full-Time Student registrants will be required to present their valid student ID upon arrival at the AAMI eXchange registration desk. Must also use a .edu email address to qualify for the rate.
  3. Team Rates apply when five or more full-conference paid registrations (excluding students). To be eligible to receive this discount, all individuals must be employees of the same company and at the same address.
  4. Cancellation Policy: cancellation of registration must be submitted in writing via email and must be dated on or before Friday, May 16, 2025, to receive a refund minus a 10% administration fee of the total cost paid. After Friday, May 16, 2025, no refunds will be granted. No refunds will be granted for no-shows. Cancellations must be submitted in writing to exchange@aami.org.
  5. Substitution Policy: Replacement of a registered AAMI eXchange attendee by a business colleague/co-worker will be accepted. A $50 USD processing fee will apply to all substitutions if notified in writing by Friday, May 30, 2025. If the original registrant was registered as an AAMI member, the new registrant must also be a member or join membership upon registering. After Friday, May 30, 2025, no substitutions will be allowed. Substitutions must be submitted in writing to exchange@aami.org.

Letter of Invitation

To assist international attendees in obtaining a visa, AAMI will issue letters of invitation. Please send requests to AAMI eXchange staff at exchange@aami.org. A letter of invitation will be emailed to you on AAMI letterhead.

**To obtain a letter of invitation you must first register for the FULL CONFERENCE REGISTRATION FEE (not Expo, Expo Plus or One Day) and pay all registration fees in full (if you are denied a visa, you will be refunded in full when you provide an official government documentation, even after the cancelation deadline). No letters will be issued without confirmation of a paid registration.**

Letters of invitation will be emailed. In some cases, Visa offices will not accept electronically transmitted invitation letters. If you also need us to mail a letter of invitation:

  • Send an email requesting that we mail you a copy of your invitation letter.
  • Letters will be sent to the address provided above, unless otherwise noted.
  • Important: letter of invitation will be sent via regular mail unless you provide a DHL or FedEx account number or credit card.
